How to Map Order Items to Merchize Catalog Products

1. What Is Item Mapping?

When you receive an order, the system needs to know exactly which Merchize catalog product should be used to fulfill it — including the correct types, sizes, or colors.

Item mapping is the process of linking a product in your order to its matching product in the Merchize catalog, so the system knows exactly what to produce.

Once an order item is mapped, it’s ready to move forward. If an item isn’t mapped, it stays stuck until you (or the system) resolve it.

2. When Does an Order Need Mapping?

Not every order needs your attention. Use this quick guide to see if your orders need mapping.

✅ No action needed — already mapped automatically

Your order item is automatically mapped when:

  • It was synced from a platform like Shopify, WooCommerce, or Etsy, and the product was originally created from Merchize
  • It was created via API/CSV and already includes a merchize_sku

How to tell: Open the order — you’ll see both Seller product info and Merchize product info already filled in, side by side. Nothing more to do here.

🔧 Action needed — mapping required

You’ll need to map the item when:

  • It was synced from a platform like Shopify, WooCommerce, or Etsy, but the product was not originally created from Merchize
  • It was created via API/CSV without a merchize_sku

How to tell: Open the order. Instead of the Merchize Production Info column, you’ll see a prompt inviting you to select a matching product. Head to Section 3 below to complete it.

🚫 Not applicable — mapping doesn’t apply

Mapping isn’t applicable for:

  • Orders that have already been pushed to the fulfillment system (FFM)
  • Orders coming from FBA

Why: these orders follow a different fulfillment path and don’t go through catalog mapping.

3. How to Map an Order Item

If your order needs mapping, you have two ways to do it: let the system suggest a match (faster), or search and pick one yourself (more control).

Option A — Use the AI Mapping Suggestion (fastest way)

When an order item isn’t mapped, the system automatically analyzes it and suggests one or more matching Merchize catalog products for you.

1. Open the order and find the unmapped item — you’ll see an AI Mapping Suggestion panel appear next to it.

2. Review the suggested product with product image, name, variant, SKU, and price, along with a match confidence indicator. If the shown product is correct, click Select product.

3. If the suggestion doesn’t look right, click Find more with AI to see additional options. In the new pop-up, you will find more suggestions.

If none of the suggestions match your order, you can type a description into the search box and click Enhance to get more accurate suggestions.

4. (Optional but recommended) Check “Remember this mapping for future orders" before confirming. This tells the system to automatically apply the same mapping to any future orders with this same product, so you won’t need to repeat this step.

Option B — Map Manually (search and choose yourself)

Use this option if the AI suggestions don’t include the product you’re looking for, or if you simply prefer to search and select it yourself.

1. In the mapping panel, click Manual mapping to expand the manual search section.

2. Narrow down the catalog using the filters for Category, Product title, or SKU.

3. Browse the filtered results and find the product that matches your item.

4. Select the correct variant (e.g., size, color, style) from the dropdown for that product.

5. (Optional) Check “Remember this mapping for future orders" if you want the system to remember this choice and auto-apply it to similar future orders.

6. Click Mapping to confirm and complete the process.

Once an item is successfully mapped:

  • The order now displays both Seller product info and the matched Merchize product info side by side.
  • The item becomes eligible for fulfillment, and the order can proceed toward production and payment.
